Terms for clubs

Last updated 19 October 2026

  • You pay a monthly fee per active member, with a monthly minimum, by Direct Debit or card. Nothing else.
  • Families pay by card into your club's own Stripe account. We never hold your money, and Stripe pays it into your bank.
  • Your members' information stays yours. We only use it to run the service for you, and you can take it with you if you leave.
  • You can leave at any time with a month's notice.

1. About these terms

These terms are between James Webster, a sole trader trading as Run The Club, c/o Trampoline Life, Sport@Kenton, Newcastle upon Tyne, NE3 3RU ("we", "us"), and the club using Run The Club ("you", "the club"). They apply from when your club's account is created. The person who accepts them confirms they're allowed to agree to them for the club.

These terms are for clubs. Families and gymnasts who use the app through a club are covered by that club's own terms and by our privacy policy.

2. The service

Run The Club is online software for running a club: bookings, payments, memberships, registers, members and the other features we list on our features page. Some features are switched on per club. We may improve, change or retire features. If we remove something your club relies on, we'll tell you at least 30 days before.

We aim to keep the service available all the time, but can't promise it will never be interrupted. We'll do planned maintenance outside club hours where we can.

4. Fees

You pay a monthly fee for each active member: a gymnast who, in that month, booked a session, attended one or held an active membership. There's a monthly minimum, which only applies in a month when you had at least one active member. A month with no active members costs nothing. Our current prices are on our pricing section.

We bill you at the start of each month for the month before, showing how many members were active. You pay by Direct Debit or card, which you set up when you join, and it's collected automatically. Prices are exclusive of VAT, which we'll add if we become VAT registered. We'll give you at least 30 days' notice of any price change.

If a bill is still unpaid 30 days after it's due, we'll remind you and may pause card payments for your club until it's paid. Everything else keeps working.

5. Taking payments

Families pay your club by card through Run The Club, using Stripe. To take card payments, your club needs its own Stripe account, connected to Run The Club from the app. You can connect one you already have, or set up a new one. Your Stripe account is covered by Stripe's own terms, which you agree with Stripe.

Until your Stripe account is connected, families can still pay with credit or cash. You set your own prices and are responsible for what you sell, your refund policy and dealing with families' complaints about your club. UK law doesn't allow surcharging families for paying by card.

6. Your members' information

You're the controller of the personal information your club keeps in Run The Club, and we're your processor. As your processor, we will:

The full wording is in our data processing agreement.

You're responsible for having a lawful reason to keep your members' information, telling them how it's used (your club's privacy notice), and only adding what you need. That includes health notes and safeguarding records.

We may use anonymous, combined figures that can't identify a club or a person, such as total bookings across all clubs, to improve the service.

7. Safeguarding

Run The Club gives you tools to record safeguarding concerns, incidents and staff documents. Your club remains responsible for safeguarding, for following British Gymnastics policy and for reporting concerns to the right people. The app doesn't replace your welfare officer or your policies.

8. Fair use

Don't use Run The Club to break the law, send messages people haven't agreed to receive, try to get into other clubs' information, or interfere with how the service runs. We can suspend an account that does, after telling you why, unless it's urgent.

10. Responsibility

We'll provide the service with reasonable care and skill. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or anything else the law doesn't allow to be limited.

Otherwise, we aren't responsible for indirect losses, such as lost profits or lost opportunities, and our total liability to you in any 12 months is limited to the fees you paid us in those 12 months.
